Usage & billing

The AI in ainocrm is measured in tokens. Every seat includes a daily allowance. You see your own use; leaders, executives and admins see the team's.

The numbers

When the AI pauses, the rest of the CRM keeps working: pages, tasks, the inbox and filing that's already happened.

Your free trial

A workspace you start yourself from ainocrm.com runs as a 14-day free trial. No card is asked for. You are its admin, and the trial is the real product: chat and voice, email and calendar, the company set-up with its import and every optional feature.

To continue, an admin opens Settings › Billing, or adds a card in the company set-up, during the trial or after it ends. Where card payments are available, Add a card keeps your free days: the trial runs to its end, then monthly billing starts by itself. If you need more people or credits sooner, Start paying now ends the trial that day and gives you 10,000 tokens of credits free. A card added after the trial has ended opens the workspace at once. To pay by invoice, or if you need a little longer to decide, press Contact us and choose what you need. We get your message and your workspace's usage and answer by email: we set up billing with you or extend the trial, and a locked workspace opens again exactly as you left it.

Months during the trial still close into statements marked Not billed, showing what they would have cost. A workspace that ainocrm sets up for your company directly doesn't start a trial.

What you see as you go

A banner above the message box appears at 80% of your allowance, says when you're running on the company's credits, and says until when Aino is paused once the allowance or the ceiling is reached (admins get a link to Billing). The ceiling gets its own warning from 80%. A voice call ends at the same points. Settings › Usage shows the same on your meter.

Asking for more

When you've used today's allowance and the company has no credits left, the banner and Settings › Usage offer Request more tokens (Settings › Usage also lets you add a short note). Your admins get a notification in the app, by push and by email, with how much you used and what you wrote; if the company's billing contact isn't an admin, they get an email too. You can ask once a day — after that the button reads "Requested — admins notified at …". When an admin adds credits that day, you get a notification that you can carry on. Reaching the daily ceiling is different: that's the limit your admin chose, so there's nothing to request.

What counts against you

What you start: chat messages, voice minutes, Research now, emails filed from your mailbox or sent to the log address. For admins also: files analysed for an import, and turning the sales process or product catalog document into changes.

What runs in the background is company usage, included in the seat price: weekly account research, automation insights, Focus reasons and how-we-won notes. It runs on the company's shared tokens, 1,000 per seat a day, and never on credits or your own allowance. If they run out it pauses until the refill. See what each one uses.

An AI app you connect, such as Claude, uses no tokens for what it looks up or changes, unless what it asks for runs ainocrm's own AI. That is counted as usual and shown as "Connected AI apps".

Settings › Usage (everyone)

• Today: a meter of tokens used against your allowance, when it resets, the company's credits left and where the AI stops for the day.
• This month: tokens, model calls, how much came out of credits and what that is worth.
• Last 30 days as a chart, and where the tokens went by feature (chat, voice, email filing, account research, automation insights, Focus insights, win summaries).
• Team usage for leaders (themselves and their team), executives and admins (everyone), with a month switcher. Executives and admins also see a "Workspace" row for background work.

Settings › Billing (admins)

• The plan, price per seat, the allowance and the credit price.
• How many seats you have (people are added and removed under Team).
• Credits: how many are left, the packs to buy (10,000, 50,000 or 200,000 tokens) and what was added so far. A pack is charged on your next statement.
• Daily ceiling per person: the most one person can use in a day, credits or not, as 1× to 5× the daily allowance (default 5×). Everyone sees it on their meter.
• How you pay: the card on file, or a note that your company is invoiced separately. Add, replace or remove the card here.
• The current period: seats × price + credits bought = total, marked as an estimate until the period closes, with a note of what came out of credits.
• Daily usage, usage by member.
• History: every month with its status — awaiting payment, paid, payment failed, not billed — and links to the statement, the invoice and its PDF.
• Billing details: company name, billing email, address, VAT ID and your own reference, printed on every statement. Left empty, your workspace name goes on statements and they are sent to your admins. Adding a card fills in the address, and the company name and VAT ID if you enter them there.
• Web only: the phone apps show token counts under Settings › Usage and no prices, and nothing is bought inside the apps.

Paying

On the 1st of each month the previous month closes into a statement: the seats, the credits bought, a statement number and the per-person breakdown, frozen as they were. Your first paid month counts only from the day you start paying, and months before that are never charged. Prices exclude VAT, which the invoice adds where it applies. How a statement is collected depends on your company:

• By card. Add a card under How you pay. Card details are entered on our payment provider's secure page and never reach ainocrm; we keep only the brand and the last four digits. Each statement is charged to the card when the month closes, and the billing contact gets a receipt by email.
• By invoice. Ask us to invoice your company separately. Each statement is then sent as an invoice to the billing email with payment terms (14 days unless agreed otherwise), payable online or by bank transfer.
• Free trial. The first 14 days of a workspace you started yourself. Nothing is charged; see Your free trial.
• Not yet. Until a card is added or invoicing is agreed, nothing is charged. Months are still closed and shown as Not billed, so the history is complete. Credits can be bought once a card is on file, since they are charged on the next statement.
• Complimentary. Some workspaces are free by agreement. Their months still close into statements showing what they would have cost, nothing is ever charged, and How you pay says so. They can add up to 20,000 tokens of credits a month themselves, and more on request. If such a workspace starts paying, credits it already has stay uncharged; credits bought or reloaded after that are charged as usual.

If a card payment doesn't go through, the billing contact is emailed what happened. Replace the card under How you pay and press Pay now on the notice, or complete the payment on the invoice page. Nothing changes in ainocrm meanwhile.

Every statement has its own page: what was billed, to whom, how it was paid, and the usage by member. A paid statement is your receipt, and can be printed; the invoice and its PDF from the payment provider are linked next to it.
