Who can see what
Everyone has a sales role (Salesperson, Leader or Executive) and, separately, can be an admin. A salesperson can have one leader. Admins set both, and leaders, in Settings › Team.
The sales roles in one sentence
- Salesperson: works their own opportunities and sees their own numbers.
- Leader: runs a team of salespeople. Sees the whole company; changes, nudges, sets targets and hands out work only for their own team.
- Executive: follows the pipeline. Sees all dashboards, forecasts and opportunities, and can ask Aino about them, but changes nothing.
Admin is a switch, not a sales role
Being an admin is about running the system: settings, billing, importing data, inviting people and giving everyone their roles, company-wide automations and handing out opportunities nobody owns. It's a switch on each person in Settings › Team, and it goes with any sales role, or with none:
- Admin with no sales role: runs the system and sees and changes everything, the last column in the table below. They have no set-up of their own.
- Leader and admin: a real team (the salespeople who report to them), team targets, Claim and team routines, plus everything an admin does.
- Salesperson and admin: their own opportunities and a quota, plus the admin settings. "Not mine" picks go to their leader if they have one, else to the other admins.
- Executive and admin: read-only on opportunities, like any executive, but runs the settings, billing and the team.
In lists and on badges it reads as "Leader · Admin". Opportunities, targets, the team, nudges and team automations follow the sales role; admin powers come from the switch, so an admin can still set anyone's target or hand any opportunity to its owner.

"Team" means the salespeople whose leader you are, set in Settings › Team. A leader with no salespeople can still look at everything but changes only their own opportunities. An admin with a sales role gets that role's column, plus the admin rows: Settings › Team, editing the sales process, catalog and Organization settings, the company set-up, Billing, everyone's usage, anyone's targets and handing out opportunities.
Executives: read-only
An executive sees what leaders see, and can ask Aino about it. They can't:
- log calls or change opportunities, contacts or accounts;
- nudge, hand out tasks or opportunities, or set targets;
- connect Gmail or Google Calendar (Settings › Integrations says so), and mail they send to the log address is ignored;
- upload spreadsheets in chat.
They can keep their own Focus preferences and personal automations (for example a weekly summary of stalled deals), and they receive the leadership alerts for salespeople who have no leader. If they ask Aino for a change, it tells them who can make it.
What stays private
Your chats with Aino, your task list and your inbox are yours. No role can read them in the app. Leaders and executives see opportunities, numbers and history instead. A shared automation never lets anyone see deals they couldn't see before, and neither does an AI app someone connects: it has exactly their rights.
Adding teammates
A new company workspace starts from ainocrm.com. Inside a workspace, an admin invites people under Settings › Team › Add a user, choosing their sales role, whether they're also an admin and, for a salesperson, their leader. The invite link is valid for 48 hours.
Or skip the invites: under Settings › Organization › Email domains an admin verifies the company's email domain (for example acme.com) by adding a record at the company's DNS host. Once it is verified, anyone who signs in for the first time with a work address there — with a password, Google or Apple — joins the workspace as a salesperson; the admins get a notification about each one, and change the role in Settings › Team if needed. Public mail providers never qualify, and each domain belongs to one workspace. See Email domains.
Roles are always given, never claimed: the person who started the workspace says what they do themselves (that's their sales role, and they stay an admin) and names the first leader and any other admin in the set-up's first step; from then on admins assign sales roles and the Admin switch in Settings › Team. Nobody can make themselves an admin or a leader, not even by asking Aino (Aino passes the request on to the admins instead); an admin can only switch their own Admin off. A workspace always keeps an admin: the last one can't switch it off until someone else is an admin. A new sales role also gives them the set-up for that role, unless they already finished or skipped it.
When someone leaves
An admin clicks the bin icon next to the person in Settings › Team and chooses:
Team
Invite people, give each a sales role and the Admin switch, and set each salesperson's leader.

Remove Bob Lee?
Disable (reversible)
They can’t log in and drop out of team lists. Their 1 personal automation(s) are removed. Their deals, history and chats stay as they are. Their Gmail sync is disconnected.
Delete permanently
Their account, 22 chat(s), 9 task(s), 1 automation(s), targets and notifications are deleted.
9 deal(s) and 41 logged interaction(s) stay in the workspace without an owner.
Deleting cannot be undone.
- Disable (reversible): they can't sign in and drop out of team lists. Their Gmail is disconnected and their personal automations removed (for a leader, also the automations that ran for their team). Opportunities, history and chats stay. Re-enable brings them back (they reconnect Gmail and recreate automations themselves).
- Delete permanently: their account, chats, tasks, automations, targets and notifications are deleted. Their opportunities and logged interactions stay, without an owner; salespeople they led are left without a leader. Can't be undone.
An admin hands unassigned opportunities over in chat: "which deals have no owner?", "give Orphan Co to Bob".
