Two ways to get customer email into ainocrm without typing: connect your Gmail once, or send mail to the shared log address. Use either or both.
| Connected Gmail | Log address | |
|---|---|---|
| Setup | Once, in the web app | None |
| Works with | Gmail / Google Workspace | Any mail app |
| What is logged | New mail that is clearly about a deal, automatically | Only what you send or forward to it |
| When unsure which customer | Skipped quietly | Asks you in a chat |
Executives follow the pipeline read-only, so email capture isn't available to them: they can't connect Gmail, and mail they send to the log address is ignored.
Settings
Gmail
Automatically logs calls, meetings, contract signatures, and other deal updates found in your inbox — fully automatic, no manual step.
Log by email
Send an email to this address and it is logged on the right customer and opportunity, just like mail from a connected Gmail. Works from any mail app, no connection needed.
- BCC or CC it when you email a customer.
- Forward an email you received or sent. Write the customer or opportunity above it if it isn’t obvious.
- Or write a note straight to it: "Called Jane at Acme, they want a demo next week."
Send from: alice@company.example. Mail from other addresses is ignored. Nothing is ever sent back; you get a notification when it is logged or if we need to ask something.
Google Calendar
Logs meetings with your customer contacts on the right opportunity and shows the next booked meeting — read-only, connected separately from Gmail.
Only meetings with people from your customer accounts are kept. Everything else in your calendar is ignored and never stored.
Contacts
Add people from your phone's address book to your accounts and opportunities. Only the contacts you pick are imported.
Coming to the ainocrm mobile app for Android and iOS.
Connect Gmail
- Open ainocrm in a web browser (connecting isn't possible in the phone app) and go to Settings › Integrations.
- Click Connect Gmail and allow read-only access in Google's window.
- The card says Connected as you@company.com. Done. It works in the phone app too from now on.
What happens after you connect
- Only mail that arrives or is sent after you connect is looked at, within seconds. Older mail is not imported.
- Each message is checked: is it clearly about a deal? Call or meeting recaps, negotiation updates, signed contracts or purchase orders, wins and losses, meeting-notetaker summaries and e-signature "completed" emails are. Newsletters, internal mail and everything else are left alone.
- A relevant email is filed exactly as if you had typed it in chat: on the right account, contacts and one of your own opportunities (or a new one). Promises become follow-up tasks, an agreed next meeting is saved, and the deal moves stage if the email shows it's ready.
- A value or close date in an email only fills in what is still empty. It never overwrites what a person entered.
- If ainocrm isn't sure which customer the email is about, it leaves it alone rather than guess.
- The same email is never filed twice, even if it also reaches the log address.
- When your daily AI allowance is used up (or your company's), capture pauses instead of skipping mail: the Gmail card says so, and everything that arrived meanwhile is filed after the reset at 00:00 UTC.
You get a notification each time, for example:
- "New email activity on Glaston Automation Upgrade"
- "New opportunity from email: Acme Pilot"
- "Acme Pilot moved to Proposal" / "Acme Pilot closed — won"
- "Acme Pilot: ready for Negotiation, but still needs Products attached"
The text says what was summarised, which documents were recorded as signed, and which follow-ups were added. The email also appears on the opportunity's, account's and contact's timeline.
If the card says "Needs attention"
Google access was removed or expired. Click Connect Gmail again. To stop, click Disconnect Gmail: nothing more is read, and what was already filed stays.
The log address
Everyone in your company can send mail to one shared address, shown under Settings › Integrations › Log by email with a Copy button. Four ways to use it:
- BCC or CC it when you email a customer. The people you wrote to tell ainocrm who it's about.
- Forward an email you received or sent (inline or as an attachment). If it isn't obvious where it belongs, write the customer or opportunity above the forwarded part ("Acme, new opportunity for 20 seats"). What you write wins.
- Write a note straight to it: "Called Jane at Acme, they want a demo next week."
- Forward a meeting summary from your AI notetaker or meeting recorder. It's logged as a meeting, the recording link is kept, and agreed next steps become tasks.
It must come from your own address: the one you sign in with, or your connected Gmail. The card lists them under "Send from". Mail from other addresses is ignored.
Nothing is sent back to you by email. Instead you get a notification:
| Notification | Meaning |
|---|---|
| Email logged on … | Filed. (Or a stage-move or new-opportunity title, like with Gmail.) |
| Already logged: … | It was already in ainocrm, for example from your connected Gmail. |
| Your email needs an answer: … | ainocrm couldn't tell which customer it's about, or several are involved. Opens a chat "Log email: subject" with buttons. Your answer files it. |
| Couldn't log your email: … | The AI was paused or your daily allowance ran out. Send it again later. |
